How to Print an Email on Windows 10 (Gmail and Outlook)

You can print an email on Windows 10 directly from Gmail, Outlook, or another mail service. Open the message, use the app's Print command, choose your printer, review the page settings, and select Print. If you only need a file copy, choose Microsoft Print to PDF instead of a physical printer.

One important update: Microsoft ended standard support for Windows 10 on October 14, 2025. The operating system still runs, but Microsoft recommends moving to a supported version of Windows. See the official Windows 10 end-of-support notice. The steps below remain useful for PCs that still run Windows 10.

Before you print an email

Make sure Windows can see the printer first. For a USB printer, connect it and turn it on. For a wireless printer, connect the printer and PC to the same network. In Windows 10, go to Start > Settings > Devices > Printers & scanners to check whether the printer is installed. Microsoft's printer installation guide covers both local and network printers.

How to print an email from Gmail on Windows 10

  1. Open Gmail in your browser and open the email you want to print.
  2. For one message inside a conversation, select the More menu for that message, then choose Print. To print the entire conversation, use Gmail's Print all command.
  3. Wait for the browser's print preview to open.
  4. Choose the correct printer, number of copies, page range, orientation, and any other settings you need.
  5. Select Print.

Google's Gmail printing instructions also note that messages sent using Gmail confidential mode may block printing of the message and its attachments.

How to print an email from Outlook on Windows 10

Microsoft now supports both new Outlook for Windows and classic Outlook. The old Windows Mail and Calendar apps are no longer a current option: Microsoft ended support for them on December 31, 2024 and recommends moving to new Outlook or Outlook.com. See Microsoft's Windows Mail and Calendar transition guidance.

New Outlook for Windows

  1. Open new Outlook and select the message you want to print.
  2. On the Home tab, select Print. You can also press Ctrl+P.
  3. In the Print dialog, choose a printer, layout, and page range.
  4. Select Print.

Classic Outlook

In classic Outlook, select or open the message and choose File > Print. Review the preview, select the printer, and use Print Options if you need a specific page range or other settings. Microsoft documents these controls in its Outlook printing guide.

What about Outlook.com, Yahoo Mail, and other webmail services?

Most webmail services have a print command inside the message menu. Use that command when available because it normally formats only the email content. Pressing Ctrl+P in the browser can also open print preview, but on some sites it may try to print extra interface elements instead of a clean message view.

How to save an email as a PDF instead

If you need a digital copy rather than paper, open the normal print dialog and select Microsoft Print to PDF as the printer. Select Print, choose a folder and file name, and then save the PDF. Microsoft specifically documents this method for both new and classic Outlook in its Outlook save-as-PDF instructions.

If the email will not print

  • The printer is missing: Open Windows 10 Settings > Devices > Printers & scanners and add or reconnect the printer.
  • The wrong printer is selected: Check the destination in print preview. A previous printer or Microsoft Print to PDF may still be selected.
  • The preview looks wrong: Use the email app's own Print command instead of printing the entire browser page, then check orientation, scale, margins, and page range.
  • You only need an attachment: Open or preview the attachment and print it separately. Printing the email itself does not guarantee every attachment will be printed.

Once the printer is installed, printing an email on Windows 10 is usually a short process: open the message, choose the message-specific Print command, verify the destination and preview, and print only the pages you actually need.
